Listing Authority Agreement
Version 0.1 (2026-07-30).
This document applies whenever you create, invite members to, upload to, or manage a property record in the invitation-only Property Passport internal agency tool. The Service currently has no public advertising surface.
1. Your authority
You confirm that you are the property owner or have the owner's permission and any professional authority required for the work you perform. An in-app owner, agent, tenant, or admin role is only a permission setting. It does not prove ownership, appointment, registration, or authority.
If you act as an estate agent, negotiator, property manager, or other regulated professional, you are responsible for complying with Act 242 and all registration, supervision, disclosure, and conduct requirements that apply to you.
2. Invitations and memberships
You may invite a person only for a genuine property purpose and must use the correct email address. You understand that an invitation is addressed to that email, but an accepted membership binds to the accepting account and does not transfer. Account closure and later re-registration do not transfer old memberships.
You must remove access that is no longer needed. Removal does not delete another member's copy, shared history, or records retained for traceability.
3. Documents and personal data
You confirm that you may lawfully upload and share every document, image, floor plan, contact detail, tenancy fact, and other item you provide. You must minimise third-party personal data and tell affected people how their data will be used where required.
Title and tax documents are restricted to the property owner and admins. Media and floor plans are shared with all joined members. You must not invite someone if that access would be inappropriate.
4. Accuracy and rights
You confirm that property and tenancy information is accurate to the best of your knowledge, is not misleading, and will be corrected when it changes. You own or have permission to use uploaded material. You must not upload stolen, defamatory, fraudulent, unlawfully altered, or rights-infringing content.
The Service record is not a title, tenancy agreement, rent receipt, valuation, or professional opinion. Signed documents and real-world facts remain authoritative.
5. Licence to operate the Service
You grant the Operator a non-exclusive, royalty-free licence to store, copy, resize, format, secure, and display your content only as needed to provide, support, audit, and protect the private Service and meet legal obligations. This licence does not authorise public advertising while the Service has no public surface.
6. Notifications
You authorise operational notifications about membership changes, invitation decisions, account closures, and enabled rent-payment or tenancy-renewal reminders. Per-tenancy opt-out controls apply to the two reminder types. Notifications are an aid only and do not replace contractual notices or your own record keeping.
7. Planned features — separate consent where required
The following are planned and not active: owner-consented AI-assisted review of uploaded title documents for verification badges; banking-gateway rent-receipt tracking; Telegram contact verification; and multiple tenancies per property. Accepting this Agreement does not activate those features or provide blanket consent for future third-party processing. Additional notice or consent will be obtained where required before activation.
8. Breach
The Operator may restrict access, preserve evidence, or remove unlawful or abusive content if this Agreement is breached. You remain responsible for losses or claims caused by content or access you supplied unlawfully, subject to applicable law and the Terms of Service.
9. Acknowledgement
By ticking to accept, you confirm that you understand the access model and have the authority, rights, and lawful purpose described above for each property record you create or manage.
